1. Scope and our role
This Privacy Policy applies to the SablePilot public website, dashboard, account creation, plan requests, onboarding, support, sales conversations, and pilot or paid services that link to this policy. SABLEPILOT LLC, a Florida limited liability company, operates SablePilot.
SablePilot determines how it uses information about website visitors, account owners, prospective customers, and business contacts. When a contractor uses SablePilot to manage its own leads, communications, calendars, or customer records, that contractor generally determines why the information is handled and SablePilot processes it to provide the service. A contractor's customer should usually direct a privacy request to that contractor; we will assist the contractor as required by our agreement and applicable law.
2. Information we collect
Information you or an account owner provides
- Contact and business information, such as name, company, email, phone number, service area, and time zone.
- Account information, including verified sign-in identity, workspace membership, role, permissions, invitations, and security events.
- Plan requests, selected team-size band, onboarding preferences, and sales, support, and billing communications. The public website does not currently collect payment-card details or start a paid subscription. If billing is activated later, a payment provider may process billing details and these disclosures will be updated before collection.
Information a contractor places in SablePilot
- Lead and customer records, including names, contact details, project addresses, service requests, budgets, timelines, photos or files when enabled, and estimate or job status.
- Appointments, calendar availability, booking metadata, notes, assignments, tasks, and activity history.
- Message content and delivery data. If activated, call metadata, voicemail, recordings, transcripts, and summaries may also be processed after the required disclosures and consent.
- Consent evidence, opt-out requests, suppression records, and related compliance history.
Information collected automatically
Hosting, authentication, and security systems may process IP address, device and browser information, request time, referring page, approximate location derived from IP, session identifiers, and diagnostic logs. The public marketing site does not currently use advertising cookies or session replay. If that changes, this policy and any required notice or choice will be updated first. The SablePilot contact form does not store a raw IP address or an IP-derived fingerprint in the inquiry record.
3. How we use information
- Authenticate users, create company workspaces, enforce owner-controlled permissions, and prevent unauthorized access.
- Respond to plan requests, prepare service orders, configure the approved workspace and user limit, and administer subscriptions and billing when activated.
- Organize leads, display customer records, coordinate assignments, support scheduling, and provide approved workflow features.
- Send operational notices and, only when activated and permitted, deliver customer email, text, or call workflows.
- Generate factual summaries or draft suggested actions for human review. SablePilot does not authorize an AI system to invent pricing, availability, contracts, warranties, or project commitments.
- Provide support, monitor reliability, investigate misuse, protect the service, maintain audit records, and comply with law.
- Evaluate and improve the service using appropriately limited operational information.
Mobile information is not marketing inventory. SablePilot does not sell or share mobile phone numbers, SMS opt-in data, or messaging consent with third parties or affiliates for their marketing or promotional purposes. Operational providers and carriers may receive the information needed to deliver and secure a requested message.
4. AI-assisted features
SablePilot may use service providers to generate summaries, classifications, suggested replies, or workflow recommendations. These outputs may be incomplete or incorrect and require human review. Customer data is not used by SablePilot to train a general-purpose model. A provider may process inputs and outputs only to provide and secure the contracted service, subject to the applicable provider terms and SablePilot's customer agreements. We will update this policy before materially changing that practice.
5. When information is disclosed
Information may be disclosed to:
- Authorized members of the correct company workspace, limited by their role and record scope.
- Hosting, identity, email, communications, calendar, automation, AI, payment, and support providers that help operate the service.
- Integrations selected or authorized by the contractor customer.
- Professional advisers, insurers, auditors, and authorities when reasonably necessary to protect rights, investigate misuse, or comply with law.
- A successor in a merger, financing, reorganization, or sale, subject to appropriate confidentiality and notice requirements.
SablePilot does not sell personal information and does not share it for cross-context behavioral advertising. We do not currently serve targeted advertising or respond differently to browser Global Privacy Control signals because there is no sale or targeted-ad sharing to opt out of.
6. Communications, consent, and recordings
Text and voice features remain unavailable until the applicable business verification, sender registration, consent language, and acceptance testing are complete. When a contractor activates messaging, the contractor is responsible for using a lawful consent flow that identifies the actual sender. Message frequency depends on the requested service; message and data rates may apply. A recipient may reply STOP to an active text program to opt out and HELP for help where supported.
A privacy policy does not replace consent. Call recording or transcription will remain off unless the applicable customer enables it with required notices and consent under the laws that apply to the call.
7. Retention and security
We keep information only as long as reasonably needed to provide the service, satisfy a customer agreement, resolve disputes, protect the service, or meet legal and audit requirements. Public-site inquiry records and their linked delivery metadata are scheduled for deletion after 12 months. Webhook deduplication records are scheduled for deletion after 90 days, and short-lived abuse-control counters are scheduled for deletion after 48 hours. Workspace records follow the customer's account and deletion instructions. Consent, opt-out, delivery, and security records may be retained longer when needed to demonstrate compliance. Backup copies may remain for a limited period before scheduled deletion.
We use reasonable administrative, technical, and organizational measures designed to protect information, including authenticated access, company separation, permission checks, transport security, and activity records. No online service can guarantee absolute security.
8. Your choices and privacy rights
Account users can ask to access, correct, export, or delete their account information. Depending on where you live and whether a law applies to SablePilot, you may also have rights to know, correct, delete, or obtain personal information; opt out of a sale or targeted-ad sharing; limit certain sensitive-data uses; use an authorized agent; and appeal a denied request without discrimination.
Use the SablePilot privacy request formwith the subject “Privacy request.” We may need to verify your identity and relationship to a contractor workspace. If SablePilot processes the information only for a contractor, we may refer the request to that contractor and assist it with the response.
9. Children and international use
SablePilot is a business service for adults and is not directed to children under 13. Accounts may be created only by people who are at least 18 and authorized to act for a business. The service is currently operated from and primarily hosted in the United States; information may be processed in the United States and other places where approved providers operate.
10. Changes and contact
We may update this policy as the service changes. A material change will be posted here with a new date and, when appropriate, communicated through the dashboard or by email before it takes effect. We will not quietly expand the use of previously collected information in a materially incompatible way.
